This article...
- Provides an overview of the Discussion Signature and the variables that it uses.
- Describes how to access the Signature page and select which signature variables are available.
- Details how to select variables for, and design the layout of, your organization's "default" signature.
- Mentions that users can customize their own discussion signatures via their profile, and details how they can manage them "on the fly" when creating a Discussion thread or a Reply.
When users post a Discussion thread or a Reply, the system automatically applies their Discussion Signature to the bottom of the thread, unless the user has chosen to not include one.
Signature & variables overview
Signatures are automatically added to Discussion threads and Replies. Signatures are made up of several signature variables that are selected by a Super Admin to be available for use in users' Discussion Signatures.
You can also configure a default Signature that will be used unless the user has customized their own signature on their personal Profile.
When a user creates (or replies to) a Discussion, the signature (either the default or the user's custom design) is automatically added to the post.
NOTE: You can apply a degree of consistency to the appearance of your organization's Discussion signatures by limiting which variables are available. The consistency is not guaranteed, however, because users can select the their preferred variables in order to customize their signatures.
Access the Signature page
Discussion-signature variables are managed (enabled, placed) on the Signature page.
The variables that you enable and how you "place" them are how you create your organization's default Discussion Signature.
To manage the variables and the Default Signature:
- In the Admin Toolbar, click Admin.
- Navigate to Community > Discussions > Signature.
The Signature page opens. On this page, you can:
- enable signature variables to make them available and
- create the default Discussion signature.
Signature variables notes
The signature variables are listed at the top of the page; they have individual On/Off toggles.
NOTE: This is a fixed set of variables. You cannot add or remove variables.
NOTE: The user-specific values that replace the variables in the signature are retrieved from a user's Contact Details on their profiles. Users are not required to provide these details; so the values for some variables might not display in their Signature.
Enable the Signature variables
You can easily manage which variables can be used in Discussion Signatures.
- Toggle variables ON and OFF to control which are available:
- for you to use in the Default Signature section below and
- for users to select when they customize their own Discussion signatures.
- Click Save to preserve your selections.
NOTE: The page auto-refreshes and the variables that you enabled display in the Available Variables section below. Their left-to-right order is based on the top-to-bottom order of the variables in the configuration section.
The selected variables (and no others) are now available to all users on the My Account > Discussion Signature page in their personal Profile. Users can customize their own Discussion Signatures from the available variables.
Configure the Default Signature
The "selected" variables display in blue text in the lower part of the page under Available Variables.
NOTE: The Default Signature box might already be populated with some variables.
TIP: Before you start adding variables, it's a good idea to at least consider i) which variables you want to include and ii) the layout of the signature. Then consider spacing, line breaks, and punctuation (e.g., commas, hyphens, etc.).
- Click into the box and position your cursor where you want to add a variable.
- Click the variable under Available Variables on the right; the variable displays in the box.
- Continue adding variables to create the default signature that you want.
- Click Save.
Default Signature in a thread
When a user creates a Discussion thread or a reply, the Signature will automatically populate as it was designed on the Community > Discussions > Signature page.
- If a user has not specified a value for a variable, that variable will simply not display in the box.
- Users can edit their default signature while on this page, as described below.
Edit a default Signature
Users can click the Edit Your Default Signature button to make changes to the signature while they are creating a Discussion thread or a Reply.
The Edit Your Default Signature dialog:
- indicates that any changes are applied to future threads and
- provides instructions on how to add and remove variables.
Changes to a user's signature on this dialog do not affect:
- the account's default signature or
- the signatures of any other users.
