Mailings are a part of any online voting campaign; you'll want to be sure that your voters known when, where, why, and how to vote. You can send a variety of mailings about your ballot, and you have the freedom to send as little or as much communication as you want to provide your voters.
NOTE: There are many different types of mailings that can accompany your ballot, but each one comes with a purpose. Take time to think about your target audience and how they plan to interact with your ballot. If it's a small ballot, you may only want one or two optional mailings. However, if it's a critical ballot, you'll probably want to make sure that you remind everyone to cast their votes.
How to send mailings
- Navigate to Modules > Voting > View.
- Hover over the menu icon for your desired ballot and click Mailings. You'll see a list of all the mailings available for your ballot.
Required mailings
There are two required mailings that must be created when sending out an invitation: an Invitation mailing and a Confirmation mailing. Check the boxes next to each to display their mailing options.
Mailing Invitation
- Identifiers - The Mailing Name is for internal use only. The Subject Line is displayed in the subscriber’s inbox.
- Content - Select a story layout for this invitation. The story layout is a guideline for how the invitation looks. This information can be changed after this portion is setup. Additionally, select the template you wish to use for the invitation.
- Publish Date - Place the invitation on hold until you are ready to send the message. You can also schedule the mailing if you have a set time in mind (based on your voting window).
- Target - The target group you select for this ballot is known as the "voter roll." These are the designated individuals you are giving permission to take the vote. You can select your own target group or enter in the names individually.
Confirmation Mailing
- Identifiers - The Mailing Name is for internal use only. The Subject Line is displayed in the subscriber’s inbox.
- Content - Select a story layout for this invitation. The story layout is a guideline for how the invitation looks. This information can be changed after this portion is setup. Additionally, select the template you wish to use for the invitation.
The confirmation mailing sends after someone has submitted their vote. Voters instantly receive their confirmation mailing, and they can print their selections as a receipt.
NOTE: Remember that votes don't count unless they've been confirmed.
Optional Mailings
You'll have the option to send the following optional mailings along with your required mailings.
NOTE: Each of these mailings can have different identifiers, content, and scheduling.

Once you've identified all the mailings you wish to create and specified their details, click Create Mailings.
