Data Management
Sending Data to Real Magnet
Version 1
Version 1 pushed only campaign members to Real Magnet via the Upload to MagnetMail button.
Version 2
The upload process is completed via the Real Magnet interface under Tools > Salesforce Management > Create Upload Job. This version can also import both Reports and Campaigns.
Sending Data to Salesforce
Version 1
Version 1 retrieves tracking information from Real Magnet individual records on an automatic nightly basis and a manual basis. Users can manually update Salesforce records with tracking once the update tracking is pressed.
Version 2
Version 2 retrieves tracking information from Real Magnet individual records over a nightly basis, at a time that is set by the user. What this means is that Real Magnet will push the Real Magnet tracking information, selected by the user, once a day.
What Data Reports Back to Salesforce?
Version 1
Version 1 retrieves the following Real Magnet data:
- MagnetMail Messages - This is the aggregate email and fax message tracking data. This is not individual recipient data.
- MagnetMail Email Tracking - This is individual recipient data for sent, delivered, opened, and bounced emails.
- MagnetMail Links - Aggregate data on links clicked.
- MagnetMail Link Tracking - Individual recipient level data on links clicked.
- MagnetMail Fax Tracking - Individual recipient level fax data for sent and success/fail results.
- MagnetMail Unsubscribes - Individual recipient level unsubscribe data.
NOTE: This information is reported in bulk. In Version 2, this is extended to include SMS Messaging, Surveys, and Events, and is more detailed, leading to better data management in Salesforce.
The data that can be retrieved is not only expanded to include SMS Messaging, Surveys, and Events but is also broken into smaller batches.
Version 2
Version 2 retrieves the following Real Magnet data:
Email Delivered - In Salesforce, this is presented as Sent; its sub-codes include Delivered and Bounces. The definition of those codes is identified below.
- Delivered - Individual recipient level data on messages that have been sent and delivered.
- All Bounces:
- Soft Bounces - Individual recipient-level data on an email that gets accepted at the destination mail server but is bounced before it arrives at the intended recipient’s inbox.
- Hard Bounces - Individual recipient-level data on an email that has been bounced back to the sender and is permanently undeliverable.
- User Not Found - Individual recipient-level data on an email account that doesn't exist. This is a permanent failure, and in most cases means the email is undeliverable.
- Mailbox Full - Individual recipient-level data where the recipient has too much email and their server isn’t accepting any more. This is most common with web-based email services like Hotmail or Yahoo, which have limits on how much mail someone can accumulate. This can also be a sign of an abandoned account.
- Bad Domain - Individual recipient-level data where the email address's domain is not valid and Real Magnet couldn't deliver to it.
- Temporarily Unavailable - Individual recipient-level data where the mail server is experiencing temporary problems such as “no adequate servers,” “Connection Timed Out,” “Resources temporarily unavailable”, or “Out of memory.”
- In Progress - Individual recipient-level data on messages that are still in the process of delivering to the recipient.
- Send Failed - Individual recipient-level data on messages that have failed to deliver to the recipient.
- Opens - Individual recipient-level data on messages opened.
- Click-Throughs - Individual recipient-level data on links clicked.
- Unsubscribes - Individual recipient-level unsubscribe data.
- Subscribes - Individual recipient-level Subscribe data, when linked with a Real Magnet subscription page.
- Suppressed - Individual recipient-level detail on whether a recipient has been suppressed manually, via spam complaint, or automatically.
- Fax Sends:
- Fax Successful - Individual recipient-level fax data for sent and failure results.
- Fax Failed - Individual recipient-level fax data for sent and success results.
- SMS Sends - In Salesforce, this is presented as SMS Sent, its sub-code activities are identified below.
- SMS Sent - Individual recipient-level data on whether the SMS message has been sent to the recipient’s carrier.
- SMS STOP From Phone Number - Individual recipient-level data on whether the SMS recipient has replied with STOP, thus unsubscribing from SMS messages.
- SMS License Key Invalid - Individual recipient-level data on whether the SMS message encountered an error due to the license key provisioned for your Real Magnet account.
- SMS Phone Number Invalid - Individual recipient-level data on whether the SMS message failed due to an invalid phone number.
- SMS Message Invalid - Individual recipient-level data on whether the SMS message failed due to an invalid message.
- SMS Scheduled Date Time Is Not UTC - Individual recipient-level data on whether the SMS message failed due to the improper configuration of the scheduled send time.
- SMS Invalid Assigned DID - Individual recipient-level data on whether the SMS message failed due to an invalid DID (10-digit-SMS-enabled phone number).
- SMS Not Found - Individual recipient level data on whether the SMS message failed due to an invalid MessageID.
- SMS Internal Error - Individual recipient-level data on whether the SMS message failed due to an internal error.
- SMS Service Unavailable - Individual recipient-level data on whether the SMS message failed due to the service being unavailable.
- Event Signups - In Salesforce, this is presented under the message name, if the event name is present that individual has registered for an event.
- Survey Submissions - In Salesforce, this is presented under the message name, if the survey name is present that individual has completed a survey.
Deleting Tracking Data from Salesforce
Version 1
Version 1 gives users the capability to delete the tracking information retrieved from Real Magnet in Salesforce on a message-by-message basis. This is managed by going to the MagnetMail tool in Salesforce and selecting Delete MagnetMail Data from Salesforce.
Version 2
In order to delete tracking data from Version 2, a request would need to be made to Salesforce.
Presentation of Data
Version 1
The data in the Version 1 integration of Salesforce displays within several related lists under the Contact and Lead pages. These related lists are:
- MagnetMail Email Tracking - This is individual recipient data for sent, delivered, opened and bounced emails.
- MagnetMail Unsubscribes - Individual recipient level unsubscribe data.
- MagnetMail Fax Tracking - Individual recipient level fax data for sent and success/fail results.
- MagnetMail Link Tracking - Individual recipient level data on links clicked.
Version 2
The data displays within a single related list under the Contact and Lead pages, as Real Magnet Activity History.
Provisioning Process
Version 1
Every user in the Salesforce platform that was previously provisioned must ensure credentials are maintained in both Real Magnet and Salesforce, or else the tracking data will fail.
This is a permission controlled by the Real Magnet user; this means that if you want Salesforce user RealMagnetUser1 to send a campaign to Real Magnet, you need to provision the Real Magnet account for RealMagnetUser1. This would need to be done for every user you would like to enable with the Salesforce integration permission.
Real Magnet Provisioning Process
Navigate to Tools > Account Management > Salesforce Tools > Configure Salesforce Login. It will require:
- Salesforce Login
- Salesforce Password
- Salesforce Security Token
- Magnet Mail Password
Salesforce Provisioning Process
Navigate to Salesforce > MagnetMail > Manage MagnetMail Username/Password. It will require:
- Username
- Password
NOTE: If any of these credentials change, they'll need to be updated in these two locations.
Version 2
The provisioning process for the Version 2 integration of Salesforce is completed with the use of the credentials from the Salesforce user. For it we require:
- Username
- Password
- Security Token
NOTE: If any of these credentials change, the user must notify our Support team. To do so, visit our Support Center and create a case (select Create a Case from the Support menu).
