Events often have a variety of types of attendees, and you might want to set up different prices for the various types of attendees. The most obvious example is Member vs. Non-Member pricing, in which members' registration fees are automatically discounted.
Registrant Classes allow you to take this one step further by having a more complex pricing model, with different registration fees for different registrants. Registrant Class prices are based on Security Group membership and make it possible for you to automatically display the appropriate price (registration fee) to each event registrant.
NOTE: Registration Options are available for Full Registration events only.
Event pricing options
When you create or edit an event, you can choose one of three pricing options.
- Simple - One price is set for all event registrants.
- Member/Non-Member - Separate prices can be set for members and for non-members. Registrants are evaluated for IsMember status, which is set at the Security Group level. Users who have IsMember status are charged the Member price; those without it are charged the Non-Member price.
- Registrant Classes - The most flexible because you can set an unlimited number of prices based on Security Groups. The appropriate price automatically displays to registrants based on the Security Group they belong to. Refer to Registrant Class priority, below, to learn how the system handles registrants who qualify for multiple classes.
NOTE: You can also set Early, Regular, and/or Late dates with each of these options to offer different prices based on when someone registers.
After you create an event, access it on the Manage Events page and choose Pricing from it's Actions dropdown to open the Event Pricing dialog. Click the Pricing dropdown to access your Registrant Classes.
Access your Registrant Classes
To access your Registrant Classes:
- In the Admin Toolbar, click Admin.
- Navigate to Events > Registrant Classes.
The Registrant Classes page opens.
Each class that is listed on this page will be assignable when managing an event's pricing options.
Manage your Registrant Classes
The page lists all of the default classes and any that have been created in your account.
The management options are described below.
- View the current status of the Registrant Class in the Status column.
- The Security Group column displays that which the Registrant Class is based on.
- The Default column displays whether the Registrant Class is also the "fallback" class for either the Member or Non-Member class.
- Manage the priority of the Registrant Class by clicking the up arrow or the down arrow in the Priority column. Each click promotes/demotes the entry by one position; so, multiple clicks might be necessary to achieve the order that you prefer.
- This setting also affects registrants who qualify for multiple Registrant Classes, as described below in Registrant Class priority.
- Click an Edit button to manage a Registrant Class's settings. The settings are described in Registrant Class settings below.
- Click a down arrow and select Disable from the menu to hide the Registrant Class from the registration process.
- Return here and click Enable in the menu to make the Registrant Class available.
- Click a down arrow and select Delete from the menu to permanently remove the Registrant Class.
Registrant Class priority
If a registrant qualifies for multiple Registrant Classes, the system determines their registration price by the Priority order that is set on this page, not by applying the lowest price or the highest price they qualify for.
An attendee who qualifies for two Registrant Classes will be registered for whichever Registrant Class is higher in the list.
EXAMPLE: In the image below, an attendee who qualifies for the Speaker and Former Speakers classes will be registered as a Speaker and charged the associated fee due to it being placed higher.
Create a Registrant Class
NOTE: When you create a Registrant Class, you can set it to also be the "fallback" class for either the Member or the Non-Member class. Higher Logic recommends that you set both of these fallback classes and that you include them in event options to avoid registrants not being matched to an appropriate class.
To create a Registrant Class:
- Click Create in the upper right.
The Add Choice Category dialog displays. (The "edit" version is identical.)
