Super Admins can run a variety of reports to generate data about the activity across their Community Essentials site. In this article, you'll learn how to access these Super Admin reports, along with a brief overview of each report.
TIP: These reports are grouped according to their product area or function. To jump to a specific group of reports, use the article menu located on the right.

Automation Rules
To access Automation Rule reports:
- Access the Admin interface.
- Navigate to Automation > Reports.

Lists the number of users who have made relevant changes to their record/profile since receiving an email via an automation rule. Click the blue numbers in the desired columns to view details about the affected users. |

Indicates whether certain member types are prohibited from coming over from the backend system to Higher Logic, and provides a list of Security Groups that are considered IsMember. Unanswered Discussions | Provides data about each of your community discussions that do not have any replies marked as "best answer." The report includes the total number of subscribers and followers, as well as the number of views, for each discussion thread. |
Engagement
When it comes to engagement data, you have access to two reports and an engagement dashboard to help you understanding the level of engagement occurring across your community site.
Benchmarking reports
To access the two engagement reports.
- Access the Admin interface.
- Navigate to Engagement > User Engagement > Reports.

Individual Engagement |
This report provides a high-level snapshot into the level of engagement for each of your users by showing the number of:
NOTE: Member Status and Site Status are current at the time the report is run. |
Engagement dashboard
To access the engagement dashboard, where you can see a snapshot of engagement across all of your site's members:
- Access the Admin interface.
- Navigate to Engagement > User Engagement > Summary.
The Current Stats - Since Inception area at the top provides a number of useful high-level stats (compiled since your site's inception), enabling you to see a quick, bird's eye view of community site performance.
The Report Filter area below provides filters to help you view additional metrics in a variety of categories:
- From the dropdown, you can view metrics based on a specific engagement factor. These metrics are presented toward the bottom of the page, in the Filtered by Date Range And Engagement Factor area.
- You can also filter your engagement factor data by one of several default date ranges or a custom range.
- The Filtered by Date Range Only area displays three graphs of data: Top Engagement Factors, Total Engagement, and Engagement Factors. The data these graphs present cannot be modified, but they are adjusted according to your chosen date range.
Events
To access the four event reports:
- Access the Admin interface.
- Navigate to Events > Reports.
Each report is accessible via its tab at the top of the page.
Choices report
To run the Choices report:
- Click the Choices tab.
- Select an event from the dropdown to view details about each of the registration choices available for the selected event.
Sessions report
To run the Sessions report:
- Click the Sessions tab.
- Select an event from the dropdown to view details about each of the selected event's sessions.
Registrants report
To run the Registrants report:
- Click the Registrants tab.
- Select an event from the dropdown to view details about each of the registrants attending the selected event.
- You can choose the information you want to include about each user by checking/unchecking the available criteria.
Registrations report
To run the Registrations report:
- Click the Registrations tab.
- Select an event from the dropdown to view details about each of the registrations associated to the selected event.
Glossary
To access glossary reports:
- Access the Admin interface.
- Navigate to Community > Reports.
- Click the Glossary tab.

Library Entry Access History Summary |
This report lists the approved Entries accessed in the selected Library(ies) within the selected date range, along with their number of views, downloads, comments, favorites, shares, and recommends. NOTE: This report and the Library Entry Details report are similar, except this one lists the Entries accessed within the selected date range while Library Entry Details lists the Entries uploaded within the selected date range. |

Mobile
This report provides data for the mobile MobileCentric applications downloaded from app stores and the Higher Logic API (it does NOT include data for the CCMobile product).
Enter the desired date range and click Generate Report to access Mobile Operation Code, Mobile Operation Name, and Count statistics for mobile apps.
NOTE: You can export this data to a CSV file (an Excel document in comma-separated value format).
Pages
To access several reports providing metrics about your community site's login counts, page traffic, page views, and search terms:
- Access the Admin interface.
- Navigate to Pages > Reports.
Each report is accessible via its tab at the top of the page.
Logins reports
To access these reports, click the Logins tab. Click a report's View Report button to run it.
Report | Description |

Impersonation Log | Lists extensive details about each of the impersonations performed by Super Admins, including the reason it was done, the person they impersonated, and the length of the session. In addition, each login made by Higher Logic staff is provided. |
Login Counts |
Provides a graph showing the total number of logins per day within the selected date range. You can click the bars on the graph (each representing a day) to view details about each of the users who logged in that day. NOTE: These report excludes impersonations to give a more accurate snapshot of how many users have logged into your site. |
Site Traffic and Ads reports
To access these reports, click the Site Traffic and Ads tab. Click a report's View Report button to run it.
Two reports are available, discussed below.
Ad Click-Through
This report provides information about each (email- or web-based) ad that was clicked during the specified date range.
To generate a report:
- Specify a date range in the date fields.
- Click View Report in the upper right.
The report displays on the page.

Ad Name/Identifier | An optional custom identifier for the ad. |
Click-Through Date | The date and time the ad was clicked. |
Clicked By | The name of the user that clicked on the ad, presented as a link to their community profile. NOTE: Website clicks record information of logged-in users only; non-authenticated users are not recorded. |
Type Of Ad | The type of ad, such as Microsite Ad or Community Ad. |
Source Type | The source (email or website) of the ad that was clicked. |
Referrer URL | The URL of the Discussion thread that contained the ad. NOTE: Email click-throughs do not have URLs, so nothing is recorded. |
Target URL | The URL that is embedded in the ad. |
TIP: Click the floppy disk icon to access a list of export options.
Microsite Traffic
This report displays as plotted-graph charts that display the number of views per day and unique visitors per day within the selected date range for the selected microsite. The report also shows bar charts that display the top 10 referrers and most viewed pages; you might have to click to page 2 to see the latter.
NOTE: Traffic data is available for the past 31 days only.
To generate a report:
- Select a site from the dropdown. (You can select your main site or any associated microsite.)
- Click View Report in the upper right.
The report charts display on the page.
TIP: Click the floppy disk icon to access a list of export options.
Page Views report
To run this report:
- Click the Page Views tab.
- Enter the desired date range and click Generate Report to see how many views each of your site's pages has received in that time period. To narrow the report to a specific page, enter it's Page Code.
NOTE: You can export this data to an Excel file or CSV file (an Excel document in comma-separated value format).
Search Terms report
To run this report:
- Click the Search Terms tab.
- Enter the desired date range and click Generate Report to see each term searched for within that time period. Click a term's Delete button to remove all records of its use AND remove it from any Search Cloud widgets across your site.
NOTE: You can export this data to an Excel file or CSV file (an Excel document in comma-separated value format).
People and Companies
To access these reports:
- Access the Admin interface.
- Navigate to Users > Reports.

This report provides the bios for all users who have added them on their profile. NOTE: All records are queried (i.e., active, disabled, contact and company). |
Breakdown of Active Records and Community Membership |
Provides a graph detailing the number of active records in/not in communities. Below the graph are alphabetical breakdowns based on last name and company name that can be clicked to view details about the associated users/companies. |
Contact Engagement |
Provides an overview of a single user's engagement level on your site, including:
NOTE: You must enter a user's email address to run this report. |
Contact Us Messages | Provides details about each message sent via your site's Contact Us feature within the selected date range. |
Contacts With Duplicate Email |
Provides data for records that have duplicate email addresses. Use this report to clean up data in the backend system. Demographics |
Provides a list of each the Demographics created on the Admin > Users > Demographics page, and their attributes (e.g., allows multiple choice). Demographics are organized by whether a user can enter their own values. You can click a Demographic to view more details, including the number of users/companies who have filled it out, and you can drill down again to view the specific users/companies who filled it out. |
Digital Ribbon Assignments |
Provides the count of each active ribbon with drill-down functionality to view the people who have received a selected ribbon. NOTE: This report displays data for Contact-based, Security Group-based and Community-based digital ribbons. |
Directory Opt-Outs |
Provides a list of active user and company records that are opted-out of appearing in your site's Directory (meaning they can't be searched for). This report also indicates (in the Opt-Out Source column) whether a record is opted-out based on an AMS setting or whether a user chose to opt-out via their profile's My Account > Privacy Settings page. |
Friend Requests | Provides details about every active and pending friend request sent and received during the selected date range. |
Security Groups Summary |
Indicates whether certain member types are prohibited from coming over from your integrated database to Higher Logic, and provides a list of Security Groups that are considered IsMember. In addition, this report shows the number of users belonging to each Security Group (you can click the blue numbers to view them). |
Standard Profile Completion |
Provides details about active user records who have a photo and have filled out their Bio, Education and/or Job History information. NOTE: This report does not include custom demographics. |
Expert Directory
To access these reports:
- Access the Admin interface.
- Navigate to Programs > Expert Directory.

Provides the number of active speakers per country, and enables you to view the number of active speakers per state/province where available. NOTE: The listed country/state/province is based on the address associated to a user's profile. Users who have hidden their country/state/province on their profile are still included. |

Provides the number of active speakers per country, based on users' selection of countries they are willing to speak in. This report also shows whether a speaker:

Tags
To see the usage of tags across your community site:
- Access the Admin interface.
- Navigate to Settings > Tags and Mentions > Tags.
From here, you can run a report based on an entire Tag Group or an individual tag.
Tag Group report
Each of your Tag Groups are listed on this page. To view details about the tags in a group, select Report from its actions menu, as shown below.
The number of times a tag is used is shown in the Used Count column, and this number can be clicked to view the content tagged with it. A link to the content is also provided, making it easy to jump to any tagged content.
NOTE: Clicking a tag's Delete button doesn't delete the actual tag; it only removes it from the content it's applied to.
Individual tag report
To view data about a specific tag, click the Edit Tags button for the Tag Group it belongs to.
Next, select Report from its actions menu, as shown below.
The resulting page lists each usage of the tag, along with details about the associated content, who applied it, and when it was applied.
NOTE: Clicking a tag's Delete button doesn't delete the actual tag; it only removes it from the content it's applied to.
Volunteer
To access these reports:
- Access the Admin interface.
- Navigate to Programs > Volunteer > Reports.

Applicant Cards Per Opportunity | Provides an applicant card for each user who applied to the selected Opportunity, allowing them to be printed and given to them (or saved as a Word document or PDF and emailed to them). |
Applicants by Opportunity | Displays the name and application status of all users who applied to the selected Opportunity. Exporting this report to Excel includes application details for all applicants. |
Nomination Report by Opportunity | Displays nominated users, their sign up/application date, volunteer status, points earned, and who nominated them. |
Opportunity Types | Displays the submission type and number of active Opportunities for all active Opportunity Types. |
Volunteer Opportunities by Opportunity Type | Displays the status, start/end date, total volunteers needed, invitations sent, volunteers approved/outstanding/ completed for the Opportunities associated to the selected Opportunity Type scheduled to start after the selected start date (optional). |
Volunteer Opportunities by Submission Type | Displays the status, start/end date, total volunteers needed, invitations sent, volunteers approved/outstanding/completed for the selected Submission Type. |
