In the Admin interface, you can use the Users List to manage your user records.
IMPORTANT: Do not add Users on this list page if your Higher Logic site is integrated with an AMS/CRM database. Manage your Users in your AMS/CRM system only.
To access the Users list page:
- In the Admin Toolbar, click Admin.
- Navigate to Users > List.
NOTE: You are on the Users: Enabled list page. This is the only users-list page on which you can add users. From here, you can navigate to the Deactivated, Pending Approval, and Rejected list pages, but you cannot add users on those pages.
TIP: On list pages, click a column header to sort on that column; click again to reverse the sort order. Click the columns count below the list to add and remove columns in the current view.
NOTE: This article describes the two methods of adding Users to your account. See Manage Users for information on managing (editing, deleting, and deactivating) your users.
Two add-user methods
There are two methods for adding users to your account.
- Add Manually - is the recommended method if you have just a few users to add.
- Upload Users - is recommended if you have a lot of users to add (for this method, you'll prepare and then upload a .csv file).
Both methods are detailed below.
IMPORTANT: Do not add users using either of these methods if your account's users are managed in an AMS/CRM database.
Add individual users
To add individual users:
- Click the plus sign to the right of the page title.
- On the Add Manually tab of the dialog:
- Specify the User's First Name, Last Name, Job Title, and Email Address (these fields are required).
- Add any other optional personal information in the respective fields.
- Assign one or more Security Groups to control the User's level of access across your site.
- Check the box at the bottom of the dialog to automatically send an email message with a link to create a password.
- Click Save.
The new User displays in the list. Repeat these steps if you want to individually add more users.
Upload multiple users
You can use the upload option to simultaneously add multiple users to your account, instead of individually adding users.
NOTE: The upload process is not designed for managing/editing your User records; it is exclusively a User-creation action. User records must be individually managed on the Users List page.
To add multiple users, you'll:
- download the upload-template file,
- populate the file with your users' data, and then
- upload the file.
These three steps are detailed in the sections that follow.
NOTE: The User upload is an add-only action. The User records in the upload file get added to your account. Existing User records are not impacted by subsequent uploads.
Download the template file
- Click the plus sign to the right of the page title.
- On the Upload Users tab of the dialog, click the link to download the upload template file, HL_Upload_Contact_Template.csv.
- Save the file to your device.
TIP: The template file, HL_Upload_Contact_Template.csv, is also available for download in the Additional resources section of this article.
Tips
Below are a few tips that you might find beneficial when saving, preparing, and working with the user-upload file.
- Save the template file where it'll be easily accessible for the upload.
- Note the required fields (refer to Populate the upload file, below); complete all of them to avoid record-upload failures.
- After you've populated the file for your initial upload, give it a unique name (for example, include the date).
- Do not add any columns to HL_Upload_Contact_Template.csv. If you create your own upload file, be sure to include only the columns present in HL_Upload_Contact_Template.csv.
- When doing a subsequent upload, make a copy of the original upload file and give the copy a unique name (do this for each subsequent upload).
IMPORTANT: If any of the required fields are missing, the User records that are missing the data will not be uploaded; this will be noted in the upload report that is sent to the email address specified in step 4 of the upload process.
Populate the upload file
To bulk-upload a list of users to your account, you must populate a .csv file with the users' data. Higher Logic has prepared a "template" file, HL_Upload_Contact_Template.csv, for your convenience.
IMPORTANT: Do not add any columns to HL_Upload_Contact_Template.csv. If you create your own upload file, be sure to include only the columns present in HL_Upload_Contact_Template.csv.
- Add the required User data in consecutive rows in the upload file.
- Be sure to provide all of the required fields for each User.
- Make sure that there are no data in other workbooks or sheets of the upload file.
- Save the file.
Notes
The only valid file format for this upload process is .csv.
If you create your own .csv file for the upload, make sure that it has the following required fields (column headers) and that the field names appear exactly as shown below; note the capitalization and the absence of spaces.
- FirstName
- LastName
- EmailAddress (each email address must be unique)
- CompanyName
- JobTitle
Other User data (phone, address, city, etc.) can be added by:
- Admins via the individual User records on the Users List page.
- Users on their own Profile page.
Upload the file
When you've got the .csv file prepped with the (correctly formatted) user data, you're ready to upload!
To upload of a list of users:
- Click the plus sign to the right of the page title.
- Click the Upload Users tab on the dialog and refer to the following table for information on the options.

- After uploading the list file and completing the other sections, click Submit Users.
TIP: Check the Users > List page and the Users > Security Groups page to verify that the users have been added.
Upload errors
If there are any issues with the upload file, error text will indicate what they are. Fix the issues and re-try the upload.
