You can put your messages into folders in order to group those that are similar or somehow related. Organizing your messages into folders enables you to isolate like items as a group in order to more easily access and manage them — especially because the Messages list page displays all of your messages by default.
TIP: Create folders and organize your messages from the beginning; otherwise, it will be a more time consuming and difficult task after dozens of messages have been created. Then, when creating a message, you can select which folder to store it in.
Folders notes
The folders functionality is available on the Messages > List page.
- The Messages list page has five status-based lists: In-Progress (default), Review, Sent, and Scheduled. Any messages-based folders you create are available to all four statuses.
- Any messages you put into a folder stay in that folder, even if a message's status changes.
- If you filter on a folder on one list page and then switch to a different list page (e.g., from Sent to In Progress), that filtering will be honored and applied on the new page; it will remain effective on subsequent list pages until it is removed or you log out.
- Folder names can contain letters, numerals, and special characters.
- Folders are listed by name in the following order:

- names that start with a special character,
- names that start with a numeral, and then
- an alphabetized list.
Access your folders
To access your folders:
- Access the Admin interface and click the Communications tab above the search field.
- Navigate to Messages > List.
The Folder column indicates which folder the message is stored in.
TIP: Before managing your folders, make sure that the Folder column displays in the list. If it doesn't, click the columns count below the list and select Folder.
There are two ways to manage folders on the Messages list page.
- The All folders dropdown, to the right of the page title, is a quick way to access your list of folders and to then filter the list to one folder's contents.
- The folder icon, in the upper right, opens the Manage Folders overlay dialog which has more management options.
All folders dropdown
This dropdown is the more convenient way to filter the list to the contents of just one folder. This filtering simplifies managing the folder contents.
- Click the dropdown label (the default is All folders) to open the dropdown.
- Type a folder name in the search field to quickly find that folder.
TIP: Try a text string, such as "ann", to filter the dropdown list to, for example, Annual Conference, Shareholders Annual Review, and Annuity Reports. The field is not case-sensitive.
- Click a folder name to filter the list to just that folder's contents.
- Click Create Folder to open the create dialog. When you click Create on the dialog, the folder is immediately created and the list is filtered on it.
These tasks, and others, can also be performed via the folder icon, as described in the sections that follow.
Create a folder
To create a folder:
- Click the folder icon on the list page to display the Manage Folders popup.
- Click New Folder and specify a name in the field.
- Press Enter to add the folder.
The folder will now be selectable when creating a message.
Manage your folders
NOTE: The Messages list has a default folder, Main; you cannot rename or delete this folder.
To manage your folders:
- Click the folder icon in the upper right.
NOTE: If you have a lot of folders, only a portion of them will display; scroll down to access the others.
- Click a folder's ellipsis icon and then select:
- Rename - to rename the folder in the text field.
- Delete - to delete this folder; click Delete at the confirmation prompt.
View a folder's contents
You can select a folder to display a list of which messages are stored in it.
TIP: This is, effectively, a convenient filtering mechanism because, by selecting a folder, the list refreshes and displays only the messages in that folder. Now you can manage those messages individually or as a group.
To view a folder's contents:
- Click the folder icon.
NOTE: If you have a lot of folders, only a portion of them will display; scroll down to access the others.
- Click a folder and then scroll to the bottom of the dialog and click Apply.
The dialog closes and the page refreshes to display the folder's messages.
- The folder icon displays as solid orange.
- The name of the folder displays to the right of the page title.
- Manage the folder's messages and be sure to save any changes.
- Click the folder icon to re-open the Manage Folders dialog. Now you can:
- click a different folder name, followed by Apply to manage that folder's messages, or
- click the View All button, followed by Apply to restore the full list of messages.
