Smart Campaigns are pre-built campaigns that require minimal effort on your part, featuring best-practice flows curated by Higher Logic experts that focus on speed and ease of deployment. If you're unfamiliar with Smart Campaigns, check out this article for an overview.
In this article, you'll learn about the List page, where you can manage all of the Smart Campaigns available in your account, including:
- Activating and deactivating campaigns
- Reviewing which Contacts meet a campaign's entry criteria and will be enrolled upon activation
- Running reports to view performance metrics
Access the List page
- Access the Admin interface and click the Communications tab above the search field.
- Navigate to Campaigns > Smart Campaigns > List.
The List page presents all of the Smart Campaigns available in your account. Any campaigns currently running include an "Active" label for easy visual identification.
View a campaign's details page
From the List page, click a campaign to view its details page, which provides a description of the campaign's purpose and strategy, its entry and success criteria, along with several management actions we'll discuss below.
Campaign flow
In the middle of the page is a visual representation of the campaign's flow (actions and steps).
- The flow for each Smart Campaign has been carefully engineered by Higher Logic experts to follow best practices and meet its intended goal. The steps and actions cannot be modified.
- However, the text for each included Message can be edited. By default, this message text is auto-generated by AI according to carefully curated prompts. In most cases, the generated text should meet your needs but you're free to make small tweaks or even full edits, if changes are needed.
Edit a campaign message
As stated above, each Smart Campaign features AI-generated messaging governed by prompts hand crafted by Higher Logic experts. If you'd like to make changes, however, any message can be fully edited at any time.
To do so:
- Click a Message box, as shown below.
- In the resulting popup, the message's details, subject, and body text are presented. Click the Edit icon at the top right to make the Subject and Body text fields editable.
- Make your desired changes and click Save to apply them.
View campaign criteria & eligible Contacts
Displayed at the top right is the campaign's Entry and Success Criteria definitions, helping you to understand exactly who the campaign is targeting and how success is measured.
Click the View Contacts link to have the system generate the current list of Contacts who meet the campaign's criteria and who would be enrolled into the campaign if it were activated.
NOTE: You can only view the list of eligible Contacts for campaigns in the deactivated state.
Set global settings
The campaign's Global Settings are displayed at the bottom of the page, presenting two options:
- Use the default settings configured on the Smart Campaigns > Global Settings page (learn more)
- or override these global defaults with custom settings. The ability to override allows you to personalize specific campaigns with different from and/or reply to email addresses to handle inbound communication, for example.
Activate a campaign
Once you've reviewed a campaign's criteria, made any desired edits to message content, and viewed its eligible Contacts, you can turn it on at any time via the Activate button. All active campaigns display the "Active" label for easy identification.
NOTE: Certain actions are only available when a campaign is not in the active state, like viewing eligible Contacts. Conversely, the ability to monitor a campaign's current report metrics is limited to the active state.
Activated campaigns include several new management options, discussed in the section below.
Manage activated campaigns
When a campaign is active, several new options become available.
- You can click the Deactivate button from a campaign's details page. This pauses the campaign, not allowing any additional Contacts to be added or messages to go out. Click Activate at any time to resume a campaign's flow.
- You can also click View Report to view a campaign's current metrics. Refer to the Campaign reports section below for more information.
NOTE: While you can edit an active campaign's messages, those edits will only be reflected in emails sent after they're saved (i.e., previous sent messages are not retroactively updated).
Campaign reports
While viewing an active Smart Campaign, click the View Report button (see image above) to monitor the campaign's current performance metrics on a dedicated dashboard.
These metrics are organized in two tabs: Contacts and Messages.
Contacts tab
The Contacts tab provides statistics related to campaign effectiveness and engagement. At the top, the following metrics are displayed:
- Number of Contacts - This is the total count of Contacts who met the entry criteria and were enrolled in the Smart Campaign, and subsequently received the initial message.
- Number of Successful Contacts - This shows how many Contacts completed the campaign’s defined success criteria, typically meaning they took the desired action prompted by the campaign (e.g., updated their profile, posted to the community, etc.).
- Conversion Rate - This percentage value is calculated as (Number of Successful Contacts ÷ Number of Contacts) × 100. It gives you a quick gauge of campaign effectiveness in driving the targeted action.
These metrics dynamically update as new Contacts are added to the campaign or as more Contacts convert (complete the desired action).
Below the engagement metrics is a table listing every Contact enrolled in the campaign. This table provides a breakdown of participation and campaign progress, helping you track engagement level and success at the individual level; it shows everything from their email addresses and whether they converted (took the desired action) to their current campaign step and date of the next message to be sent to them.
This information helps you understand:
- exactly who was added to the campaign and when;
- where each Contact sits within the campaign sequence and whether they’ve reached the goal;
- who acted, who stalled partway through, and who did not complete the intended action.
List management
Located above the table are a few management actions:
- Click the magnifying glass icon to expand a search field, allowing you to find Contacts based on data in any of the table's columns (e.g., their email address or step location). Results are displayed dynamically as you type. Clear the search field to once again display the full list.
- Click the filter icon to display the Filter dialog, where you can refine the list using the Converted (true or false) and Step Name filters. Click (+) Add filter to add an additional filter as an AND statement, meaning the list of Contacts is filtered based on both being true. When filters are applied, the icon is solid orange; to remove a filter, click the icon again, click Clear Filter in the dialog, and then click Apply.
- Click the export icon to download the list and its data in .csv format, according to your device and browser settings (files are generally saved to your device's Downloads folder and accessible via your browser's Downloads icon). Refining the list first via searching and filtering is respected, allowing you to export a more targeted list, if needed.
Messages tab
The Messages tab offers a focused view of the performance and delivery details for each message in your Smart Campaign. Its primary purpose is to help you track and assess how each message performed, so you can understand user engagement at every stage and identify any patterns or drop-offs in your campaign workflow.
These per-message metrics help you identify underperforming messages or successful calls-to-action, informing future content refinement.
As you can see above, each message in the campaign is listed, along with its high level statistics. Click a message to view its Mailing Activity Report, which you can learn more about in the Mailing Activity Report section below.
List management
Located above the table are two management actions:
- Click the magnifying glass icon to expand a search field, allowing you to find messages based on their Name or Subject Line. Results are displayed dynamically as you type. Clear the search field to once again display the full list.
- Click the export icon to download the list and its data in .csv format, according to your device and browser settings (files are generally saved to your device's Downloads folder and accessible via your browser's Downloads icon). Refining the list first via searching and filtering is respected, allowing you to export a more targeted list, if needed.
Mailing Activity Report
The Mailing Activity Report enables you to view and analyze deeper delivery and engagement metrics for each of a campaign's messages.
The Mailing Activity Report includes the following tabs (refer to the linked articles below to learn more about each tab):
- Snapshot - A high-level, visual overview of all major benchmarks and statistics, helping you quickly assess a message's key performance indicators to understand how it performed.
- Key Metrics - Provides a structured, tabular overview of core performance statistics, organized into three main categories: Delivered, Non-Delivered, and Opens. Use this tab to assess delivery and engagement levels, spot potential delivery or interaction issues, and benchmark key items like delivery, open, and click rates. See Key Metrics Tab to learn more.
- Details - Offers a granular, recipient-level breakdown of a message's major interactions and outcomes. Its main purpose is to let you drill down from the summary numbers available on the Snapshot and Key Metrics tabs into the actual lists of recipients—showing who received the mailing, who opened, clicked, shared, opted out, bounced (with bounce types), and even web tracking activity like purchases. You can view both the aggregate counts (e.g., total opens or bounces) and the underlying details such as email addresses, statuses, and any additional chosen fields for every individual Contact. - Published Mailing - A view of the published message, along with a "heat map" showing the message locations (e.g., links) that had the most user interactions. This tab is a go-to resource for QA, compliance review, archiving, and troubleshooting any delivery- or content-related inquiries. See Published Mailing Tab to learn more.
- Options - Shows the meta-data associated with the message, including details such as the subject line, send and creation dates, sender and reply-to addresses, and other identifying information related to the message's configuration. This tab is especially useful for verifying message setup details, ensuring audit and compliance accuracy, and referencing specifics like scheduling, sender identity, or list selections used for a sent message.
