The folder functionality in Higher Logic Thrive Marketing Enterprise (Thrive Marketing Enterprise) helps keep your account's assets (messages, groups, surveys, and campaigns) organized and easier to find and manage.
Depending on your account's setting, folders will either be shared among your team or unique to individual users (i.e., private). Regardless of your account's setting, all users can manage folders and their assets.
NOTE: This is not a default feature. If you want it enabled in your account, create a case.
Shared vs. private folders
Shared folders
This setting creates a folder, Main Folder, that is shared among all users. When a user creates a folder, it is visible to all users, resulting in a overarching folder structure that everyone shares. Also, when an asset is moved from one folder to another, it is moved for all users.
Private folders
This setting creates a folder, Main Folder, for every user. By default, the folder structure that each user creates belongs to that user and is visible to only that user. However, assets that are placed in private folders are not hidden from other users; all other users can see and use those assets. This setting simply gives users the ability to create their own folder structure and organize its content however they want.
Folders & assets notes
When working with folders and assets, keep in mind the following important considerations.
- There is no limit to how many folders you can create.
- You can delete a folder only if it is empty (i.e., contains no assets or sub-folders).
- If the folder has assets, move (or delete) them and then delete the folder.
- If the folder has sub-folders, delete them and then delete the folder.
- You cannot delete or rename folders that were created by a different user.
- You cannot delete or rename Main Folder.
- Assets must be in the same folder in order to be associated with one another.
EXAMPLE: To include a link to a survey (asset #1) in an email message (asset #2), the message and the survey must be in the same folder. Building on this: to send that message to a group (asset #3), that group must also be in the same folder!
NOTE: If any of these assets are not in the folder, an error will result.
Access your folders
Folders can be accessed in a variety of ways, depending on which Admin interface page you're on.
NOTE: The folder functionality on the various Admin interface pages is described in the page-specific articles that are linked below.
IMPORTANT: There is not a dedicated folders-management page. Folders can be managed on the Admin interface pages that are mentioned in the following sections.
Groups & Messages
In the Admin interface, navigate to:
- Contacts > Groups; see Manage Groups
- Messages > List; see Create & Manage Messages
These pages have a folder icon in the upper right; click it to open the Folders dialog.
Campaigns
In the Admin interface, navigate to:
- Campaigns > List; see Manage and Create Campaigns
- Landing Pages > List; see Create & Manage Landing Page Campaigns
- Engagement; see Create & Manage Engagement Campaigns
These pages have a Filters button above the list, on the left; click it to open the Folders/Initiatives panel.
Surveys
In the Admin interface, navigate to:
- Surveys > List; see Manage Your Surveys
This page displays the current folder in the upper right. Next to it, click the folder icon to open the Folders panel above the list.
View folder contents
In all of the folder options detailed above, when you select a folder, the page displays only:
- the assets that are in that folder and
- the assets of the page type (i.e., if you are on the Messages page, groups, surveys, and campaign-based assets won't display, even if they are in that folder).
Troubleshooting
Below are some problems that you might encounter when working with assets and folders. The probable causes/solutions are provided.
I can't find my message, group, or campaign.
Make sure you're in the correct folder. Remember: when a folder is selected, only the assets that are in the folder will display.
I received an error when I tried to insert a survey in a message.
Assets (messages, groups, surveys, and campaigns) that will be used for an associated purpose must be in the same folder. If you get an error when inserting an asset into a message, it's probably because the asset is not in the same folder. Review your folder contents, move or copy the asset, and then re-try the insertion.
