Super Admins can create an unlimited number of custom Statuses for their organization's Ideation program. Statuses are the best (and easiest) way to let your users know what's going on with an idea because the idea's Status displays as a "pill" on:
- its card on the Ideation home page and
- an idea's Details page.
As ideas move through the "lifecycle," their Statuses should be updated so that users know which ideas are getting attention and how they are progressing (e.g., Submitted, Approved, Denied, Released).
This article describes how to:
- access your list of Ideation Statuses,
- create a custom Status, and
- manage the Statuses in your account.
Statuses in the community
Let's look at Statuses in your community site.
- Status selection - When users create an idea, the default Status that has been set in your account is automatically applied to the idea; they cannot change it. However, Super Admins and users with Ideation-management permissions can select a different Status when they create an idea.
- Status management - Super Admins and users with Ideation-management permissions can update an existing idea's Status; their own and those of other users (refer to Change an active Idea's Status, below).
- Status filter - The Status dropdown filter on the Ideation home page makes it easy to isolate ideas with the same Statuses.
- Status pill - Statuses display on the idea cards on the Ideation home page and on an idea's Details page so that all users can readily see the idea's lifecycle progress.
Access your Statuses
- In the Admin Toolbar, click Admin.
- Navigate to Feedback > Ideation > Statuses.
The Ideation Statuses page is where you create and manage your account's Statuses.
TIP: On list pages, click a column header to sort on that column; click again to reverse the sort order. Click the columns count below the list to add and remove columns in the current view.
Create a Status
- Click the plus sign to the right of the page title.
- On the dialog:
-
- Specify an appropriate and obvious name for the Status (required).
- Check the box to set the Status to Active (optional). A Status has to be Active in order to be available to a Super Admin or a user with Ideation-management permissions.
- Check the box to enable voting on idea submissions that have this Status (optional). Refer to Close voting, below, for helpful information.
- Click Save.
- Review the list and verify that the new Status is listed.
TIP: You can set the Status as the default as described below in Manage Statuses.
Your new Status is now available to Super Admins and users with Ideation-management permissions.
Close voting
Why would I want to "close" voting for ideas with a particular Status?
Assume you have a Status named In Production that gets applied to ideas that have already been approved for development. You can "close" voting for these ideas so that you don't get additional, unnecessary vote-based feedback on the ideas.
Manage Statuses
You can manage a few aspects of your Statuses to streamline your Ideation program and to ensure that it functions smoothly for Admins and for users.
The Status management options are above the list:
Select a Status to enable the management options; then click:
- Edit to change the name of the Status, set whether it's active, and set whether it's open for voting.
- Delete to delete the Status.
NOTE: You cannot delete a Status if it is applied to any ideas, which is indicated on the Delete dialog. You can migrate the Status' ideas to a different Status; choose one from the dropdown and click Delete.
TIP: If you do not want to migrate all of the ideas to the same different Status, navigate to the Ideas list page and individually manage the Statuses via the Update > Status method as described in Manage your Site's Ideas.
-
Set as Default to make the Status the default for new idea submissions. The Status:
- now has (Default) in red text next to its name in the list.
- is automatically pre-selected on the Create dialog, but Super Admins and users with Ideation-management permissions can select a different Status.
Change an active Idea's Status
As ideas move through the "lifecycle," it's a good idea to keep their Statuses up to date so that users know which ideas are getting attention and how they are progressing.
An active idea's Status can be changed by:
- Super Admins and
- users with Ideation-management permissions...
...but in varying places in your community site.
The following table details where idea Statuses can be changed and by whom.
