In this article, you'll learn how to manage your Enterprise assets by changing their owners and hiding/showing them.
See Understand Enterprise Assets for an introduction to account assets and information on how the Enterprise feature gives Admins the ability to manage them in an account.
To access your assets:
- Access the Admin interface.
- Navigate to Settings > Assets.
Change asset ownership
On the Change Ownership tab, you can:
- change who owns an asset and
- set whether an asset is visible for your account.
NOTE: You can see only those assets that you own and that belong to people on your team. If you change an asset's ownership to someone who is not on your team, you will no longer be able to see that asset.
Change asset owner
NOTE: If a user is deactivated in your account, the assets that they owned will display and an admin can re-assign ownership of the asset.
In the Change Asset Ownership area:
- Click Select asset and choose an asset category. This displays a new asset selection menu.
- Click the Select <asset> menu and select one or more assets in the dialog. If your account has a lot of assets, only 10 at a time are shown by default, so you may need to browse multiple pages; to help locate an asset, you can search for it via the Search field at the top right. When finished, click Select.
- Click Select Login and in the dialog, select a user login and click Select.
- Click Save to transfer ownership of the asset to the selected user.
Asset ownership history
A complete history of all asset ownership changes is shown in the Asset Ownership History area. Details provided include the name and type of asset, who the previous owner was and who the new owner is, and who made the ownership change and when.
- The default view is sorted by Change Date. Click any column header to sort on that column; click again to toggle the order.
- Click the filter icon (or All) to select an asset category, refining the list to specific asset types.
- Use the Search field to locate individual or similar-named assets. You can search on as a few as 1 character. Clear the field to restore the original list.
Hide/show assets
In most instances, hiding an asset that you no longer need is recommended over deleting the asset.
Let's learn how to hide and show assets.
Required permissions
To hide and show assets, users must have the following permissions.
NOTE: All of these permissions are enabled for all users by default.
- Archive Group Categories
- Hide Forms
- Hide Groups
- Hide Messages
- Hide/Restore Dynamic Content
Hide assets
When you hide an asset, it is no longer available for use.
- Click the Hide/Show Assets tab.
- Click the Viewing: menu and select Shown Assets to display your visible assets.
- Click the asset filter menu to the right and select the asset category you want to manage (e.g., Groups).
- A list of all assets in the selected category are shown. Using the checkboxes to the left, select one or more assets and click the now-enabled Hide button.
TIP: Only a limited number of assets are listed at a time; below the grid, you can click the page-selector buttons at the button to view more and use the per page menu to show more assets per page. Above the grid, you can use the Search field to find specific assets.
The asset(s) is now hidden, and for all intent and purposes, is unavailable and unusable. It has moved to the Viewing: Hidden Assets list, and can be unhidden again at any time from there.
Show assets
If you want to show assets that have been hidden:
- Click the Hide/Show Assets tab.
- Click the Viewing: menu and select Hidden Assets.
- Click the asset filter menu to the right and select the asset category you want to manage (e.g., Groups).
- A list of all assets in the selected category are shown. Using the checkboxes to the left, select one or more assets and click the now-enabled Show button.
TIP: Only a limited number of assets are listed at a time; below the grid, you can click the page-selector buttons at the button to view more and use the per page menu to show more assets per page. Above the grid, you can use the Search field to find specific assets.
The assets are now shown, and are once again available and usable. They have moved to the Viewing: Shown Assets list, and can be managed from there at any time.
