Moving folders in your community site
Super Admins can use the Move Library Folders tool to move Library folders to either:
- a different location within the library or
- a different library (i.e., in a different community).
NOTE: You can use this tool to "cherry pick" just the folders you want and to move only those folders and their contents. If you prefer to move all library folders from one library to another, consider using the Merge Community Content tool.
Learn how to manage your Library folders and their contents in Manage Folders & Move Entries. The Move folders action that is described in that article is exclusively for moves within the same library.
Below are a few things that you should consider when moving folders.
Moving folders notes
- When a folder is selected to be moved, the move includes:
- the folder,
- all of its contents,
- all of its subfolders, and
- all of the subfolders' contents.
- You cannot move a folder to one of its own subfolders or to the Main folder of the same library.
- You can move a subfolder "up" in the folder structure.
- The tool is not limited by the number of files in a folder; its only focus is whether the selected folder is eligible for the move.
- The tool can move only three levels of folders and subfolders below the base level (the Main folder) of the library that you select from the Select a Library dropdown.
- The Select Library Folders To Move dropdown automatically selects all subfolders of the folder that is selected in the Select a Library dropdown.
- The Select a Destination Library Folder dropdown automatically excludes (i.e., does not display) folders that are not eligible because:
- they are three levels (or more) below the Main folder;
- they are subfolders of the selected folder; or
- adding to them would exceed the three-level limit.
NOTE: So, folders that you might think are "missing" from the Select a Destination Library Folder dropdown might be intentionally excluded because they are considered not eligible.
- The Keep subfolder structure option gives you the ability to retain the folder-subfolder structure (the "nesting") when you move folders. Refer to Using the 'Keep subfolder structure' option, below, for information on how this setting works.
- The Move Folders button is not enabled if there aren't any "eligible" folders in the selected Destination library. In this case, consider choosing a different Destination library.
Community folders examples

- Note that the tool dropdown uses one and two dashes to indicate the subfolder levels.
Using the 'Keep subfolder structure' option
The Keep subfolder structure checkbox is your "controller" for whether to preserve the existing hierarchical folder structure in the Destination library. The checkbox is enabled only when the Destination library can accommodate the full hierarchy within the three-level limit.
- Check the box to preserve the existing hierarchical structure of the selected folders and their subfolders and replicate the structure in the Destination library.
- Uncheck the box to have all of the selected folders moved to the selected Destination folder and to be subfolders of that folder.
The checkbox is automatically disabled and you cannot preserve the folder structure in the following circumstances.
- When none of the selected folders has subfolders (because there's no structure to preserve).
- Refer to the helper text in the image below.
- When moving the current group of selected folders to the selected Destination folder would exceed the three-level limit.

Access the Move Library Folders page
To access the Move Library Folders page:
- In the Admin Toolbar, click Admin.
- Navigate to Community > Tools > Move Library Folders.
You are on the Move Library Folders page.
The next section describes how to move one or more folders to a different library.
Move one or more folders
There are only a few configuration steps in the folder-move process.
NOTE: The Move Folders button remains disabled until the required fields are properly configured.
To move one or more folders:
- Click the Select a Library dropdown and select the library that contains the folders that you want to move.
- Click the Select Library Folders To Move dropdown and select the folders that you want to move.
- If a selected folder has subfolders, they, too, are automatically included in the move. This is because moves are hierarchical (rather than per folder) in order to prevent "orphaned" folders being left behind.
- Below, the Annual Conference folder was selected, so all of its subfolders and sub-subfolders are automatically included.
- Click the Select a Destination Library dropdown and select the library that you want to move the folders to.
- Accept the default library, Main (Library Base), or click the Select a Destination Library Folder dropdown and select the library that you want to move the folders to.
- Check or uncheck the Keep subfolder structure box based on what you want to happen to the structure in the Destination library. (Refer to Using the 'Keep subfolder structure' option, above, for information.)
- Click Move Folders and, on the confirmation dialog, click Move Folders.
TIP: The confirmation dialog that displays depends on whether the Keep subfolder structure box was checked; examples are provided below.
NOTE: The "move" action triggers an automatic re-indexing of your libraries and it will take a few minutes for the changes to propagate across your library.

One of the following confirmation dialogs will display.
NOTE: The Folders that will be moved box always displays the folder-subfolder structure as shown below, irrespective of whether the structure will be preserved at the Destination.

Confirm the move and manage the folder
It's a good idea to navigate to the selected Destination library to confirm that the moved folders and subfolders display as expected. You can:
- create a new Library Entry in the moved folders,
- rename the moved folders,
- add subfolders to the moved folders, and
- move the moved folders.
