Before you begin...
Before you set up the Company Directory page, review the following information.
Integrations note
- If your community is managed by an external, integrated AMS/CRM database, your Company records should be managed exclusively in that database.
Admin interface actions
- In order for a Company record to be included in Company Directory search results, it has to be Enabled (check the Status column) on the Users > Companies page, as shown below.
- It's a good idea to, at a minimum, display the Security Groups and Status columns on the Companies list page for quick reference when building and testing the Company Directory page.
- You can add them via the column-chooser below the list.
- You can filter the list on these two columns.
Company Directory overview
The Company Directory is an optional directory-search page that is designed for searches of "company"-type records. Company records typically include:
- associations,
- organizations, and
- companies.
The Company Directory is separate from, and independent of, the Member Directory. In your community, use:
- the Member Directory to search for community users and
- the site search to search for community content.
Company Directory search notes
NOTE: The Company Directory search works like most standard searches, so this article calls out only atypical and unique search behaviors.
When using the Company Directory, keep in mind the following:
- All of the search fields accept standard English-language alphabetic and numeric characters.
- The percent symbol ( % ) is a wildcard character.
- The State/Province field is disabled by default; it is enabled only when:
- a Country has been chosen and
- the chosen Country has state/provincial territories (such as in Australia, the U.S., and Canada).
In this case, the State/Province field then auto-populates with the appropriate list of territories (this ensures that only a valid territory can be chosen).
Enable the Company Directory search page
The Company Directory search page has to be enabled in the CMS.
To enable the page:
- In the Admin Toolbar, click (or right click for a new tab) Edit Navigation to access the CMS.
- In the navigation tree, expand Directory and click Company Directory to select it.
- In the Page Properties on the right, check the Visible in Navigation box.
NOTE: If this box is not checked, the page will not display in the Directory dropdown and users will not be able to access it.
NOTE: This adds a Company Directory link in the Directory dropdown:
- Click the Company Directory ellipsis icon and click Edit to open the page in Page Designer to review the page widgets as described in the next section.
Review the Company Directory widgets
The Company Directory page is preloaded with three widgets that make up the default design of the Company Directory page.
- These widgets are pre-configured such that, out-of-the-box, they offer a viable search page that returns only company records; however, some customizations are possible.
TIP: Other widgets (described in the table below) can be added to the page to enhance the search experience. For example, you could include demographics (e.g., industry [medical, technology], sector [government, public]) as search fields or limit searches to companies that are in selected Security Groups.
The following table describes the default widgets and some of the optional widgets.
| Widget Name | Purpose & Configuration Details |
|---|---|
| Directory Search by Name | This preloaded widget is a system widget that is required to ensure the functionality of the page. Do not edit or delete this widget. |
| Directory Search (required) | This preloaded widget is required because it provides the search interface. On the configuration dialog: This widget is preconfigured to search company records. Do not change the Show Company Records Only? setting. Other settings that you can customize are described below in No-results dialog settings. |
| Directory Search - Location (optional) | This preloaded widget makes it possible to include location-based filtering (e.g., city, province, country) for the search. On the configuration dialog: Use the toggles (Yes | No) to set which location options you want as search fields on the Company Directory page. City, Country, and State/Province default to Yes (display). |
| Directory Search - Demographic (optional) | Add this widget if you want to include Demographics as search filters (e.g., industry, career stage, education level). Add and configure one widget per Demographic. On the configuration dialog: Click the Demographic Type dropdown and select a Demographic Type; configure any other settings. You can customize the name of the widget on its Properties tab; this displays as the section heading on the Company Directory page. |
| Directory Search - Limit to Security Group (optional) | Add this widget if you want to restrict which companies appear in the search results. On the configuration dialog: Choose the Security Groups that contain the companies that you want included in the results. The Display Checkboxes? setting defaults to No; toggle it to Yes to display Security Group checkboxes to users. |
No-results dialog settings
It's possible that a company search will yield no results. You can edit the Directory Search widget to customize the title and the text of the dialog that displays to users when this happens.
- Click to select the widget.
- Click the pencil icon to edit the settings.
- Scroll down and review the following settings.
- No Search Results Modal Text refers to the message in the dialog that displays when the search yields no results. The default text is "No Contacts Found" but you can edit this (e.g., "No records found").
- No Search Results Modal Title refers to the title of the dialog that displays when the search yields no results. The default text is "No Data Found" but you can edit this (e.g., "Company Records Search: Results").
- If you make changes, be sure to scroll to the bottom of the dialog and click Save. Do not click the X in the upper right.
- In the bottom right of Page Designer, click Save and then click Publish.
The Company Directory search page is now:
- accessible via the Directory menu in the page-top navigation and
- available to all community users.
Access the Company Directory search page
To access this directory search page:
- Click Directory in the page-top navigation.
- Select Company Directory from the dropdown menu.
The Company Directory page displays.
Search for a Company
You can search for companies by specifying your search criteria in one or more fields.
For example, referencing the image above, you can search by:
- name in the Company Name field and/or
- location in the City and/or Country fields.
NOTE: The Company Directory page is customizable, so there could be other search-field options that are based on, for example, "industry," "employment status," and/or "career level." These display in individual sections on the page and their options display as checkboxes.
To search for a Company:
- Specify a value in one or more fields. (More inputs lead to more refined results.)
- Click Find Companies.
TIP: Use the City (or State/Province) field, without specifying a company name, to search for companies in a known region.
Search results
The results display in the lower part of the page.
If there are multiple results, you can:
- click the sort-order dropdown (default, Company A-Z) to customize the list display alphabetically, by Company, City, State (or Province), or Country.
- These are the only options that will display in this dropdown. If other search fields are added to the page, they are not added to this list.
- click the Export button to generate and download (as either a .CSV file or an .XLS file) a list of the companies in the search results.
- use the page navigation in the lower left to access any additional pages.
TIP: The exported file (Contact Export.xxx) has in excess of 25 columns of data. You can customize the data (e.g., format column headers, change the font), arrange the data (e.g., move columns), and keep just the data that you want (e.g., remove columns).
In the search results you can:
- hover on the company name to add the company as a Contact and/or send a message (to their community inbox).
- click a company's email address to initiate an email message to their external email address.
- click a company name to visit the company's profile in the community where you can:
- view company information,
- view members who are associated with that company, and
- navigate to individual members' profiles.
Troubleshooting
If a Company record isn't in the results and you expect it to be, you can perform the following checks.
NOTE: If your community is integrated with an external AMS/CRM database, verify that the Company record exists in that database and that synchronization has completed.
Verify that the record is an actual Company record.
- Navigate to the Users > Companies page in the Admin interface.
- Check for the record in the Companies list.
- If the Company is not listed, you can create a new record.
Confirm that the record is in the appropriate Security Group.
- Navigate to the Users > Companies page in the Admin interface.
- Click to select the Company record and check the Security Groups field in the Preview Panel.
- You can edit the record to add it to a Security Group if necessary.
Check that company demographics are configured for companies.
- Navigate to the Users > Demographics page in the Admin interface.
- Click to select the Demographic and then click the Edit Category button.
- Check whether the Applies to Companies box is checked on the Edit Category dialog.
Verify that the page's Directory Search widget is configured for Company records.
- This widget is preconfigured to search company records only.
- Refer to Review the Company Directory widgets, above, for information.
