Merge Community Content tool overview
You can use the Merge Community Content tool to move community content from one or more Source communities to one Destination community. This tool is beneficial if you want to move content because, for example, you feel that it would better serve your community users in a community that is more suited to the content.
Moving content - notes and limitations
Below are a few things that you should consider and remember if you use the Merge Community Content tool.
TIP: The next section, Moving content - examples, provides examples that demonstrate the following notes and limitations.
- The tool can simultaneously move content from multiple Source communities.
- The tool can move content to a single Destination community only.
- The Destination community must have the content type enabled.
- The eligible content types display (in the Select content types to merge section) after the Source and Destination communities have been selected.
- The eligible content types are based on the selected Source and Destination communities.
- The tool can move the following content types:
- Discussion threads
- Q&A threads
- Resource Library files
- Announcements
- Blogs
- Events
- Volunteer Opportunities (displays only if the optional Volunteer Manager module is enabled for your main site and the Source community has available Volunteer Opportunities)
- The content move is an "all or nothing" action per content type. You cannot cherry-pick individual items within a content type.
The content that is moved from a Source community is, effectively, "merged" with the same content type on the Destination community.
CAUTION: The move-content action is irreversible. Be sure of your intentions before moving content to a different community.
Other content-management tools
In addition to this tool, Higher Logic offers other Admin-based tools that you can use to manage community content.
- To move individual threads (Discussion threads and/or Q&A threads), see Move Discussion Threads.
- To convert the thread type (of Discussion threads and Q&A threads), see Convert Thread Type Tool.
Moving content - examples
You can move content to a community only if that Destination community has the content type enabled. To clearly demonstrate this, the examples in this section use:
- a single Source community, All Things Travel, and
- two different Destination communities, Weekend Getaways and New Zealand Travel.
Example 1: Content types are not enabled in Destination community
The Q&A threads and Events content types are not enabled in the Destination community (Weekend Getaways), so these content types in All Things Travel are not eligible to be moved and do not display in the list.
Example 2: Content types are enabled in Destination community
The Q&A threads and Events content types are enabled in the Destination community (New Zealand Travel), so they are eligible to be moved.
NOTE: The content move is an "all or nothing" action, per content type. You cannot cherry-pick individual content items of a content type. Checking a box moves all of the indicated number of content items.
Access the move tool
The Merge Community Content tool is easily accessible in the Admin interface.
To access the tool:
- In the Admin Toolbar, click Admin.
- Navigate to Community > Tools > Move/Merge Community Content.
The Merge Community Content page has a few input fields in which you configure your content "move."
If you haven't already, refer to Moving content - examples, above, for information on what content can and cannot be moved based on your community selections.
The next section describes how to move content.
Move/Merge content
The content that you move is "merged" with the same content type on the Destination community.
There are only a few steps in the move process.
To move content:
- Click the Select one or more source communities dropdown and select one or more communities. The selections display in the field.
- Click a community's X to remove it as a selection.
- Click the Select a destination community dropdown and select one community as the new host of the content.
- Click the field again to select a different Destination community.
NOTE: The "source" communities intentionally do not display in the Select a destination community dropdown.
- In the Select content types to merge section that displays, check the boxes for all the types of content that you want to move.
We'll move the two Announcements from All Things Travel and three Q&As from Questions About Travel to the New Zealand Travel community:
NOTE: This is an "all or nothing" action. Checking a box moves all of the indicated number of content items.
- Click Merge.
- Review the information on the confirmation dialog and click Confirm Merge to complete the move (or click Cancel).
A notification displays at the top of the page; it indicates:
- that the move has been queued,
- the name of the Destination community, and
- that a notification will be sent when the move is complete.
IMPORTANT: The duration of the move cannot be predicted because of several variables (e.g., the number of content types selected; the size of the content items that are being moved). Higher Logic will send an email notification as to the success/failure of the move.
Confirmation email message
Below is an example of a confirmation email message. Note the Summary and Breakdown sections; review these to confirm the result that you expected.
