In this article, you'll learn about the various lists that are available on the Mailings page, how to modify a mailing, and the mailing calendar.
In Progress Tab
The In Progress tab is where all of the mailings you're working on are stored. To access it, navigate to the Mailings > View > In Progress tab.
To filter the mailings displayed, you can sort by folder by selecting the arrow up/down buttons highlighted above to change folders.
Options
Each mailing includes a menu you can hover over to edit, copy, and delete.
Toward the top of the tab are additional options allowing you to:
- Search for specific mailings.
- Reset the display columns back to the default settings.
- Add or remove columns. After clicking this button, use the plus and minus buttons to add and remove columns. Then, click Ok and to update the columns in the tab.
- Export the information into an Excel spreadsheet.
- Show deleted mailings.
- Delete multiple mailings by checking their boxes and clicking Delete.
- Move one or more mailings to a different folder.
Review Tab
Teams that incorporate The Reviewer tool into their mailing preparation process will likely increase their efficiency and mailing quality. See Reviewer Tool Overview to learn more.
To help your team stay organized, all of your mailings currently in review appear in the Review tab. To access it, navigate to the Mailings > View > Review tab.
Options
Each mailing includes a menu you can hover over to:
- View comments others have made about the mailing
- Edit the mailing
- Change the due date for people reviewing the mailing
- Add reviewer(s) after you've sent the mailing out for review
- Resend the invitation to review the mailing again
- End the review period earlier than expected.

- Add or remove columns. After clicking this button, use the plus and minus buttons to add and remove columns. Then, click Ok and to update the columns in the tab.
- Export the information into an Excel spreadsheet.
NOTE: Once the due date for the review passes, the mailing will automatically be visible on the In Progress tab.
Scheduled Tab
After you schedule a mailing, it's moved to the Scheduled tab. To access it, navigate to the Mailings > View > Scheduled tab.
To filter the mailings displayed, you can sort by folder by selecting the arrow up/down buttons highlighted above to change folders.
Options
Each mailing includes a menu you can hover over to edit (view), copy, and stop the mailing from being sent at its scheduled date/time.
Toward the top of the tab are additional options allowing you to:
- Search for specific mailings.
- Reset the display columns back to the default settings.
- Add or remove columns. After clicking this button, use the plus and minus buttons to add and remove columns. Then, click Ok and to update the columns in the tab.
- Export the information into an Excel spreadsheet.
Sent Tab
The Sent tab is where all of your previously sent mailings reside. There are some easily viewable statistics, and you can also copy a mailing to be used again. To access it, navigate to the Mailings > View > Sent tab.
To filter the mailings displayed, you can sort by folder by selecting the arrow up/down buttons highlighted above to change folders.
Options
Each mailing includes a menu you can hover over to:
- See the full report for this individual mailing
- View the rendered version of the mailing
- Copy the mailing
- Delete the mailing
- Use the Emergency Link Change tool to change a link in already sent mailings (see Emergency link changes to learn more)
Toward the top of the tab are additional options allowing you to:

- Reset the display columns back to the default settings.
- Add or remove columns. After clicking this button, use the plus and minus buttons to add and remove columns. Then, click Ok and to update the columns in the tab.
- Export the information into an Excel spreadsheet.
- Show deleted mailings.
- Delete multiple mailings by checking their boxes and clicking Delete.
- Move one or more mailings to a different folder.
- Refresh the Sent tab (allows you to see any new mailings that may have been sent while you've been on the tab).
- Compare details about one or more mailings.
Mailing Calendar
When working with a marketing team that sends numerous mailings, staying organized is key, especially regarding keeping your sender reputation in good standing - you don't want to schedule and send too many mailings at or around the same time.
To help organize and manage your mailings, the mailing calendar can help you stay on track. The calendar displays scheduled mailings, as well as previously sent mailings. In addition, if you use the tentative send date feature, the calendar will also display those upcoming mailings that people are considering sending. This is great scheduling information to know before you schedule your mailing. It creates that window of opportunity to have a discussion with your colleagues about the possibility of moving the send date - or perhaps just the time.
Adding Calendar Events
To add an event to the calendar:
- Navigate to Mailings > View.
- Click the Calendar tab on the right hand side of the screen.
NOTE: In the resulting calendar view, you can sort the calendar by Month, Week or Day, as well as by folder.
- Click Add to Calendar.
- Configure your calendar item:
- Fill out the Name.
- Select a Start and End date.
- Select a Folder to store it in.
- Select a Color to represent your item on the calendar.
- Enter a Description, if desired.
- Click Save.
The name will populate on the calendar with the date you chose.
Color-coded Mailing Key
The calendar includes a key that enables you to see your mailing activity for the month, week, or day, and helps you understand whether you're sending too many or too few mailings. This is important regarding your organization's sender reputation, as sending too many mailings to subscribers in quick succession can have a negative impact.
Taking advantage of this feature ensures the mailings your organization is sending don't interfere or overlap with each other.
There are five types of mailings displayed on the calendar:
- Past Mailings - Mailings that have been sent prior to today.
- Scheduled One-time Mailings - Mailings with a send date in the future.
- Scheduled Recurring Mailings - Mailings that send multiple times in the future.
- Tentatively Scheduled Mailings - Mailings planned to send in the future, but not actually scheduled.
- Tentatively Scheduled Mailings that were not sent - Mailings with a tentative date that were never sent.
- Other Colors - You can select colors for any calendar item your add manually.
Modifying a Mailing
While you can’t modify a mailing you’ve already sent, you can update any mailing in the In Progress, Scheduled, or Review status.
To update a mailing:
- Navigate to Mailings > View.
- Navigate to the tab (In Progress, Scheduled, or Review) where the mailing resides.
- Hover over the mailing's left menu and select Edit.
- Make your changes.
- Click Save.
