Over time, Libraries typically store a lot of files; fortunately, Community and Super Admins can create custom folders in order to house these files in an organized manner, making it easier for users to find what they're looking for.
In this article, you'll learn how to:
- Create and delete custom folders
- Move folders
- Rename folder names
- Move Entries from one folder to another

View folders
Click the icon above the main list of Entries (highlighted below) to expand the Folders Panel. This panel has two purposes:
- First, it enables admins to create and delete folders (this can only be accomplished in Admin view, which you'll learn about soon);
- second, it's the only way all users can view any custom folders that have been created for a Library, allowing them to more easily search for specific types of content in large Libraries.
In this panel, the available folders are displayed on the left; click a folder to view only its Entries on the right.
- All Libraries have a default folder, called Main. This folder cannot be deleted or renamed.
- Any additional folders created exist as subfolders of this primary folder.
- The number of Entries within a folder is indicated to the right of the folder name.
TIP: If you've selected a folder, its name is displayed to the right. Click the (X) icon to remove the folder filter and once again view all Entries.
Create folders
With the Folders Panel expanded:
- Click to select Admin view (you must be in Admin view to create and delete folders).
- In Admin view, you'll notice ellipsis (...) menus to the right of your folders. Click one of these menus and select Add Subfolder.
- In the dialog, enter a folder name and click Add.
NOTE: Folders are added as "child" folders to the parent folder. You can add several levels of folders to create a branching structure, if needed. To expand/collapse your structure, click the (+) and (-) icons to the left of a folder.
Delete folders
With the Folders Panel expanded:
- Click to select Admin view (you must be in Admin view to create and delete folders).
- In Admin view, you'll notice ellipsis (...) menus to the right of your folders. Click the menu associated to the folder you want to delete and select Delete.
- In the dialog, click Delete to confirm.
WARNING: Deleting a folder also permanently deletes ALL of its associated Entries. This action cannot be undone, so be sure to move any content you want to keep to a different folder before deleting. Refer to the Move Entries to a different folder section below to learn how.
Move folders
With the Folders Panel expanded:
- Click to select Admin view (you must be in Admin view to move folders).
- In Admin view, you'll notice directional icons to the left of each folder (except for Main, as it cannot be moved). Hover your mouse over a folder's icon and drag and drop it to the desired location.
TIP: Not only can you move a folder above or below other folders, you can also move them in and out of levels in the branching structure.
If you'd like to move a folder without using the drag-and-drop method, you can do so by clicking its ellipsis (...) menu and selecting Move. Then, select which level in your folder structure to move it to, followed up Move Folder.
Rename folders
With the Folders Panel expanded:
- Click to select Admin view (you must be in Admin view to rename a folder).
- In Admin view, you'll notice ellipsis (...) menus to the right of your folders. Click the menu associated to the folder you want to rename and select Rename Folder.
- In the dialog, update the name in the text field (there's a 100 character limit).
- Click Rename to finalize your change.
IMPORTANT: Extremely long folder names will make it appear as though the ellipsis (...) menu has disappeared, as shown below:
This is not the case. Scroll down to the bottom of the Folder Panel and you'll see a horizontal scroll bar, which allows you to scroll to see the ellipsis (...) menu:
Move Entries to a different folder
By default, all of your Entries reside in the default folder, called "Main." If you've created custom folders, you can move your Entries into any of them at any time. This is a great way to keep your Entries organized, which makes it easier for you and your users to find them.
- Click to select Admin view (you must be in Admin view to move Entries to different folders).
- In Admin view, you'll notice checkboxes to the left of each Entry in the list. Check one or more boxes to select one or more Entries.
- At this point, you can move the Entries in two ways:
- Click Move. In the resulting dialog, select which folder to move the Entries, and then click Move X entries
- With one or more Entries selected, click to expand the Folders Panel, and then simply drag and drop them directly into a folder.
